01Intro
The custom registration platform is a branded flow that does exactly your event: attendees, exhibitors and VIPs each see only the questions that count for them; workshop and stage capacities are managed live (booked out means: no longer selectable); options, extra questions and invoicing details are captured structured, instead of fraying into 28 Excel columns. In the end you have clean lists, instant confirmations and a picture that's accurate – instead of a table three people edit at once. And because it's your system, it grows with you: from the registration flow to on-site check-in to the small event portal.
Straight up: if a standard tool maps your process, an honest audit tells you so – then you build nothing of your own. The custom route pays off when integration options, functions (e.g. multi-role logic) or branding hit their limits. With attendee data, the data-protection concept (consent, deletion, access) belongs at the project's start, not in the fine print.

Capture the registration process
Which roles are there (attendee, exhibitor, press, VIP), which details do you need per role, where does friction arise today? The existing process – Excel, PDFs, reply emails – is made visible.

Define roles, branches and capacities
Who sees which questions? Which options are limited (workshops, stage slots, quotas)? The logic is set before building – including the mandatory details per role.

Build the branded flow
A registration flow in the event's look: role-specific, with live-managed capacities and instant confirmation including a calendar file. Mobile first – most register from their phone.

Wire up output and handover
Clean lists per role, confirmation emails, invoicing details, programme-booklet uploads – to where you need them: table, CRM, programme tool. No more retyping.

Sharpen and extend at the real event
After the first use it shows where attendees stall and which question is missing. And the flow grows: on-site check-in, sign-off steps, a small event portal – tier by tier.

05Technical implementation
- Frontend: a branded registration flow in your event microsite or as a standalone page – mobile first.
- Role and branch logic: each role sees its path; mandatory details and options are defined per role.
- Capacities live: workshop and stage slots are managed centrally – booked out means not selectable, no double bookings.
- Backend: validation, interim storage, summary, forwarding – data storage on EU servers with a deletion concept.
- Output: clean lists per role, confirmation emails with a calendar file, invoicing details, programme uploads – into a table, CRM or programme tool.
- Extendable to a portal: login, roles, sign-offs and protected downloads are Tier 3, not a basic prerequisite.
